Document Naming Conventions

Definitions

Proposal Attachments: Attachments uploaded to the proposal development (PD) record in eTRACS.  This does not include the System to System forms that are automatically generated by eTRACS for federal submissions.  Proposal attachments include, but are not limited to: Draft proposals, correspondence related to the proposal, appendices related to the proposal, statement of work, budget justifications, subrecipient commitment forms and related materials, compliance documentation, supplemental documentation, and JIT requirements.

Award Attachments:  Attachments uploaded to the proposal tracking and/or award tracking (PT/AT) record in eTRACS.  Award attachments include, but are not limited to: Draft agreements, fully executed agreements, award correspondence and compliance documentation.

Post-Award Subrecipient Attachments: Attachments uploaded to the agreements tab of the proposal tracking record.  These attachments are in relation to the negotiation and agreement between ECU and an entity in which ECU has issued a subagreement; post ECU award acceptance.  Post-Award subrecipient attachments include, but are not limited to, partially and fully executed agreements, subrecipient budgets, subrecipient scopes of work and supplemental documentation.

Naming Conventions and Examples

Some acceptable abbreviations for document types that may be used within a document name are below:
